Efficient IT Solutions for Business Automation Systems

Time Sheet in BAS and 1C - Automation of HR Record-Keeping

Implementation of a full-featured “Timesheet” module for configurations that lack this functionality. Automatic data entry based on the production calendar, support for complex shifts, and automatic calculation of payroll.

Estimated cost: 25 000

Avoiding fines and risks

The module generates timesheets in strict compliance with Ukrainian law (standard Form P-5). You will always have accurate data on hand for State Labor Service inspections regarding working hours, holidays, and days off.

Automation of 90% of routine tasks

Forget about manually entering working hours for each employee. The system automatically cross-references schedules, holiday adjustments, and leave records (vacation, sick leave), filling out the document in seconds.

Accuracy of payroll calculations

The data from the timesheet serves as the basis for calculating pay. This eliminates the “human error” that can occur when an accountant forgets to record an absence or incorrectly calculates hours for part-time work.

Security for your system

We install the module as an “Extension.” This is a modern method that does not alter the application's standard code. Your BAS or 1C system remains supported and is updated as usual.

Why is this important for your accounting department?

The standard “Accounting” configurations (both version 2.0 and the latest versions of BAS) in Ukraine are designed for tax calculations, but often lack a convenient tool for daily HR record-keeping. Without the “Timesheet” document, the accountant is forced to:
Counting hours manually or maintaining separate spreadsheets in Excel
Risk making mistakes when transferring data to the payroll document
Wasting time manually tracking holidays, reschedules, and sick leave
Our solution transforms the timesheet in 1C 8 from a mere formality into an automated accounting module. You get a system that links employees’ work schedules to their total pay amounts.

FAQ

Custom schedules are created in the module settings. When you click the “Fill” button, the system applies the schedule to the production calendar. If an employee works 12-hour shifts or night shifts, this will automatically be reflected in the corresponding columns of the document.

This is essential if you want to stop calculating hours manually. In 1C 2.0, the timesheet is often implemented solely as a printable form without the ability to store data in the database itself. Our solution creates a fully-fledged object that stores the history for each month.

We have linked the module to the “Production Calendar” directory. All public holidays and official adjustments to the work schedule (in accordance with Ukrainian law) are automatically taken into account when filling out the form.

Yes. Despite the automation, the accountant retains full control. You can manually change the time or replace the attendance code with another one directly in the timesheet.

The system correctly processes data for employees working part-time (0.5 or 0.25 FTE). The schedule specifies the standard working hours, and when filling out the timesheet in 1C, the program will indicate the exact number of hours stipulated in the employment contract.

Once the document has been completed, you can print out the legally approved Form P-5, which includes all the organization’s details and signatures.

Optimizing HR Record-Keeping in Ukraine: The Transition from Manual Data Entry to Systematic Automation

Accurate time tracking is not only a legal requirement but also the key to a company’s financial accuracy. A vast number of companies in Ukraine face the fact that the standard “Accounting” module in 1C 8.3 does not provide a flexible tool for tracking attendance and absences. As a result, the accounting department wastes resources on duplicate work, maintaining records in external files.

Implementing a specialized module allows you to completely change this paradigm. The main value of automation lies in the fact that the timesheet in 1C becomes the “single source of truth.” When data on actual hours worked is consolidated into a single document, the risk of overpaying or underpaying is reduced to zero. This issue is particularly acute in organizations with rotating schedules, where manually filling out timesheets in 1C 8.3 turns into an endless process of reconciling work orders, sick leave, and vacation requests.

Technologically, our solution is tailored to the specifics of the local market. Whether you use the current suite of programs on the BAS platform or track working hours in 1C 2.0, the module’s logic remains intuitive. The system automatically pulls data from HR orders and compares it with the standard hours according to the production calendar. This allows you not just to “see the hours,” but to conduct a detailed analysis of discipline and actual staff workload.

It is important to understand that maintaining accurate timesheets in 1C 8.3 for Ukraine also ensures your compliance with regulatory authorities. Having documents that confirm compliance with working hour regulations is a mandatory requirement for running a legal business. By using a professional extension for time and attendance automation, you gain a tool that not only simplifies accounting tasks but also makes HR record-keeping transparent, accurate, and completely error-free.
